Bookkeeper

Division/Department: Finance

Location: Elmwood Park, NJ

Reports to: General Manager/Direct Supervisor

Salary: Commensurate with Experience

The Full Charge Bookkeeper assists with the financial management of the organization; implementation, maintenance and adherence to internal controls and accounting procedures compliant GAAP standards; as well as payroll and necessary customer service tasks.

Responsibilities:

  • Oversee monthly cash flow, monitor progress and changes and keep the Management updated on organization’s financial status
  • Responsible for accurate and detailed job-costing (WIP) in QuickBooks
  • Produce accurate month end closeout, complex journal entries, reconciliations including, but not limited to cash, prepaid expenses and payroll
  • Ensure accurate recording of bank deposits; reconcile bank account statements
  • Prepare, analyze and present weekly, monthly, quarterly and annual financial reports
  • Conduct the quarterly review of companies’ financials and budgets • Maintain fixed asset ledger, depreciation, and reconciliation
  • Audit and spot-check different areas of accounting within the Finance Department and any accounting done by other departments
  • Prepare monthly and quarterly tax returns
  • Remit payroll income sales and use taxes
  • Process 1099s
  • Work with outside CPA(s) on yearly audits and other financial compliances
  • Ensure compliance with quarterly payroll and business taxes
  • Maintain good standing and business licensing requirements
  • Assist with Budget Planning
  • Maintain inventory in QuickBooks
  • Analyze and evaluate, with the assistance of the Management, the purchase of “large ticket items”
  • Learn the company’s CRM and Job Management software integrated with QuickBooks
  • Ensure maintenance of all financial files, records and correspondence in accordance with company procedures and good business practices
  • Answer telephone; take inquiries, messages and respond as needed
  • Maintain confidentiality of all customer and business information
  • Such other duties and responsibilities as may be reasonably directed and required

Qualifications

  • Minimum of five (5) years bookkeeping experience
  • Minimum of three (3) years QuickBooks experience, Desktop Contractor Edition a plus.
  • Minimum of BA/BS or equivalent in Accounting
  • Experience in restoration or construction bookkeeping
  • Intermediate proficiency in Microsoft Windows software, especially EXCEL and WORD; use of the Internet
  • Strong organization, budgeting, forecasting and financial management skills
  • Competent with spreadsheets and databases
